Purchasing Administrator | Trafford Park, Manchester | Full-Time, Permanent
£32,000-£35,000 + Parking + Benefits
Due to the planned retirement of a long-standing member of the team, we are recruiting for a Purchasing Administrator to join an established international manufacturing business based in Trafford Park.
This is a varied and responsible position sitting at the heart of the purchasing and supply chain process. Working closely with the Inventory Controller, suppliers, Warehouse, Quality, Customer Service and external customs partners, you will help ensure materials are ordered, tracked, documented and received correctly.
THE JOB
Reporting to the Inventory Controller, you will take ownership of the day-to-day purchasing administration, from raising purchase orders and communicating with suppliers through to monitoring international shipments, processing import documentation and booking received materials onto the ERP system.
The role is office-based, working 38hrs per week (including a fully paid lunch break).
Typical working hours are 8am – 4.15pm Mon – Thurs and 7am – 12noon on Fridays.
Key Responsibilities:
- Manage the purchasing process, including updating material requirements, raising purchase orders and maintaining regular communication with suppliers regarding orders, availability and delivery dates.
- Coordinate shipping and imports, maintaining relevant documentation, tracking expected arrivals and liaising with customs clearance agents where required.
- Work closely with Warehouse and Quality teams to ensure they have accurate delivery information and supporting documentation, checking incoming goods against purchase orders and updating the ERP system.
- Process supplier invoices and shipping documentation, matching invoices against goods received and providing accurate payment information to Finance.
- Maintain accurate material, purchasing, customs and supply chain records within the ERP system and in line with the company’s Quality Management System.
- Manage supplier non-conformances, including communicating issues and arranging credit notes or refunds where appropriate, while providing wider administrative support as required.
THE PERSON
We are looking for a highly organised and proactive administrator who has excellent attention to detail and enjoys working in a busy role where there are multiple orders, deliveries and priorities to manage.
You will need strong administration skills and be comfortable working with purchase orders, invoices, delivery information and computerised systems. Experience using an ERP system would be beneficial, although the ability and willingness to learn new systems quickly are equally important.
As you will be communicating with suppliers and working closely with several internal departments and external partners, you should be a confident and professional communicator who is comfortable following issues through to resolution.
Previous experience within purchasing, procurement administration, supply chain, materials or a similar environment would be advantageous.
Experience of international shipping, import documentation or customs processes would also be particularly beneficial, although training can be provided where appropriate.
Above all, we are looking for someone who understands the importance of accurate information and timely purchasing and who can build strong working relationships across the wider supply chain.
